How TriRho handles team, athlete, and coaching data.

Tri-Rho Technologies LLC, doing business as TriRho (“TriRho,” “we,” “us,” or “our”), provides rowing team-management, performance-analysis, and coaching-feedback software. This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you use our website, coach dashboard, mobile applications, and related services (collectively, the “Services”).

1. Information We Collect

Depending on how the Services are used, we may collect:

• Account and team information: name, email address, role, team or institution, account identifiers, and authentication-related information.

• Roster and performance information: athlete names, lineups, attendance, availability, workout plans, ergometer results, water-session results, seat-race information, coxswain observations, steering analysis, and coaching notes.

• Optional wellness information: body weight, heart-rate information, and general availability or injury-status flags when a user or institution chooses to provide them. TriRho is not a medical service and these fields are not medical records, diagnoses, or participation clearance.

• User content: comments, feedback, uploaded technique photographs, short video clips, PM5 monitor photographs, and related metadata.

• Location and telemetry files: GPX, SpeedCoach, CoxBox, or similar files that may include route coordinates, speed, heading, and timing.

• Historical-import information: spreadsheet or CSV data that an authorized coach uploads to add athlete and erg history.

• Support and pilot-form information: information you submit when requesting support, joining a pilot, or contacting us.

• Technical and security information: IP address, browser or device type, operating-system information, logs, timestamps, and information needed to secure, operate, and troubleshoot the Services.

We receive information directly from users, from authorized coaches or institutions, and from files or integrations that authorized users choose to upload.

2. How We Use Information

We use information to:

• provide, secure, maintain, and improve the Services;

• create and manage team workspaces and user access;

• display training, performance, planning, lineup, and coaching information to authorized team members;

• process uploads and generate requested analytics;

• send transactional messages such as invitations, password-reset messages, and service notices;

• respond to support requests;

• prevent fraud, abuse, unauthorized access, and security incidents; and

• comply with law and enforce our agreements.

TriRho does not sell or rent personal information, use participant data for targeted advertising, or use participant performance data, media, or metrics to train general-purpose AI models.

3. How Information Is Shared

We share information only as needed to provide the Services, comply with law, protect rights and safety, or complete a business transaction such as a merger or acquisition.

Information may be visible within the authorized team workspace according to the user’s role. Coaches may have access to broader team and administrative information than athletes or coxswains.

We use service providers that process information on our behalf, including:

• Supabase for identity and authentication;

• Railway and Cloudflare for hosting, networking, and storage;

• Google Cloud Vision when PM5-photo OCR is enabled;

• Resend for transactional email; and

• Expo for mobile application delivery.

These providers may process information only to provide services to TriRho and are not authorized to use it for their own advertising purposes.

4. Data Retention

We retain information only as long as reasonably necessary for the purposes described in this Policy, to meet legal obligations, resolve disputes, and enforce agreements.

Current retention practices include:

• PM5 source photographs are scheduled for deletion within 7 days after confirmation;

• raw GPX and precise route files are scheduled for deletion within 30 days of upload;

• generated personal-data export packages expire after 7 days;

• security and operational logs may be retained for up to 12 months;

• encrypted backups may remain until they are overwritten through the normal backup cycle, generally within about 90 days.

When a verified account or institutional-data deletion request is approved, TriRho will delete or de-identify applicable production data within 30 days, unless retention is required for legal, security, fraud-prevention, or contractual reasons.

5. Your Choices and Requests

You may request access, correction, export, or deletion of applicable personal information by using available in-app tools or contacting us at privacy@trirho.com.

If your account is provided through a school, club, or other organization, that organization may control certain records. We may direct you to the organization where appropriate.

You can revoke device permissions, such as camera or photo-library access, through your device settings. Some features will not work without the data or permissions directly needed for those features.

6. Security

TriRho uses reasonable technical and organizational safeguards designed to protect information, including role-based team access controls, encryption in transit, access restrictions, and credential hashing. No system is perfectly secure, and we cannot guarantee absolute security.

7. Student and Institutional Data

Where an institution provides education records subject to FERPA, TriRho acts only as a service provider under the applicable agreement with that institution. The institution remains responsible for determining who is authorized to use the Services and for providing any notices or consents required by law.

8. Children

TriRho is not directed to children under 13. The pilot is intended for authorized adult participants. Do not create an account for a minor unless TriRho and the relevant institution have separately agreed on an appropriate authorization process.

9. Changes

We may update this Policy from time to time. If we make material changes, we will update the “Last updated” date and provide additional notice where required.
